Purpose Of The Position
- To assist with the management and maintenance of the full recruitment process within the HR department.
Duties And Accountabilities
Ensure strong working relationships
- Interact with all company staff in a professional and courteous manner
Recruitment
- Assist with HR screening and selecting of potential applicants (1st and 2nd interviews)
- Assist with sending weekly updates and constant feedback with the recruitment agencies
- Assist with set up of all interviews with the relevant managers
- Ensure all required documentation and signatures accompany a recruitment approval form and follow up where documentation is outstanding
- Assist with providing job specs and communication to preferred recruitment agencies on available vacancies
- Update and manage Workday and Broadbean on a regular basis and ensure that the expired positions are removed / closed
- Assist with scheduling relevant tests for screening process
- Update all checklists related to recruitment
- Assist and ensure once candidates have been shortlisted, that an interview is scheduled
- Provide the necessary support to line management in interviewing candidates and assess culture fit applicant to company
- Save recruitment approvals electronically, capture details on vacancy schedule and update Workday
- Draft and share internal ads for vacancies via email to the branches and warehouse
- Complete reference checks
- Update checklists, policies and standard operation procedures related to recruitment
- Once successful candidate has been identified, and the offer of employment has been drafted and signed by new employee, start with new employee onboarding process
- Send onboarding forms to manager and new employees
- Send the relevant manager checklists and probation document for completion
- Capture and create a workday profile for the new employees
- Draft the contract of employment, restraint of trade and job description and furnishing to applicant / recruitment agencies
- Follow up with IT to ensure all equipment is ready
- Follow up with manager to ensure desk space and stationery is ready for the employee’s first day
- Ensure all relevant new staff entry paperwork is complete and send the necessary groups
- Ensure welcome emails are sent out for new staff
- Ensure that the candidate receives their new employee paperwork for completion
- Meet the new staff member on first day and introduce to senior management
- Ensure staff file audit spreadsheet is kept up to date
- Create electronic staff files for new employees and ensure all documents are present and filed correctly
- Creation of electronic staff files for existing staff
- Staff File Audit
- Ad hoc audit of staff files (quarterly)
- Follow ups on outstanding information
Induction
- Assist with induction sessions
- Assist with catering and venue bookings
- Yearly review of the induction / orientation process
- Induction for Logistics / Express / Contracting Logistics / NBCRFLI staff / Drivers
Payroll Administration
- Upload copies of relevant paperwork to Payroll input folder before 7th of every month
- Submission of medical aid transfer, new applications, and addition of dependants to be given to payroll on or before new employee’s first day
- Ensure Liberty and NBCRFLI provident fund forms are completed correctly and send to Payroll Manager / HR Manager to sign off
Performance Management
- Collect, capture and follow-up on performance appraisals on a bi-annual basis
Talent acquisition
- Assist with all talent acquisition projects for the region
Adhoc
- Assist HR Manager and Payroll Manager on projects
- Telephonic confirmation of employment
