Transport planner (Oil Refining - Petroleum - Drilling, )

Managing the execution, direction, and coordination of all transportation matters within the organisation. this includes managing budgets, organising schedules & routes, ensuring that vehicles are safe and meet legal requirements, and making sure that 

• Manage daily  terminal operational
• Develop goals and priorities for all staff and communicate them to employees
• Ensure safety and quality standard in the operation are sustained
• Management of major expenses, fuel. Tyers, maintenance, overtime, salary
• Dealt customer enquiries/complaints
• Accident investigation and special vehicles reports for Accidents, vehicles misused and reckless driving
• Build and maintain professional but cordial relationships with the clients
• Ensure vehicles are licensed and constantly in roadworthy condition
• Daily, weekly and monthly of overall operation, arrange COF and service of fleet
• Management of major expenses, fuel. Tyres, maintenance, salaries, overtime to minimize cost where possible
• Coaching drivers and motivate them to change bad behavior on road
• Ensure that the performance of fleet and drivers is effectively managed as per guidelines
• Coaching and motivating drivers how to be safe

• Ensure that the white sheet and all other records are kept up to date through the shift
• Responsible for the total administration function relevant to all jobs carried out by the fleet
• Conductor discipline hearings and coaching drivers to drive and work safety all the time
• Allocate all job tasks to maximize the efficient utilization of the fleet
• Ensure that all clients are serviced within the agreed period of time and notified proactively should the service delivery not be possible
• Reconciliation of invoices, weighbridge, toll and diesel slips
• Monitor and control vehicles using Power Track software Special vehicles reports.
• Special vehicles reports for Accidents, vehicles misused and reckless driving,
• Ensure and inforce that all staff has correct PPE and suitable equipment to perform their tasks
• Ensure drivers are correctly briefed and movements are planned to obtain maximum efficiencies.
• Ensure efficient dispatching of vehicles
• Ensure that client requirements are communicated and understood at all levels of the operations
• Submit vehicle tracking report on a daily basis
• Ensure that all accident are reported immediately and investigated 

• Dealt customer enquiries/complaints
• Handling Hazmat enquiries/complaints
• Monitor and control vehicles using Power Track software Special vehicles reports.
• Special vehicles reports for Accidents, vehicles misused and reckless driving
• Report for faulty tracking systems.
• Build and maintain professional but cordial relationships with the clients
• Assist in providing clients with accurate information
• Ensure that client requirements are communicated and understood at all levels of the operations
• Submit vehicle tracking report on a daily basis 

• Co-ordinate the daily planning of cargo movement in order to ensure that  revenue levels and customer service are maximized
• To ensure operating costs are minimized through effective resource  planning and utilization
• Monitor daily volumes in line with forecast.
• Understand cargo loading and dispatch procedures
• Ensure budgets are managed on a daily basis and report any  discrepancies.
• Registration and renewal of all fleet and Vehicle insurance claims
• Debriefing drivers and giving instructions
• To ensure staff are operating in a safe manner
• Track and trace vehicle on a daily basis( Bandit tracking software)
• Consolidate loads to ensure higher revenue is earned
• Ensure vehicle utilization is optimized
• Meet customer deadlines and requirements - on time delivery
• Prepare monthly fuel surcharge and submit for approval.
• Ensure Roadbook is kept updated
• Prepare and submit weekly revenue schedules for invoicing purposes
• To ensure the correct customer rate, volume and kilometers are  to submitting invoices to the client.
• To ensure correct purchasing and maximum discount benefits and 
• Suppliers of materials and services to the Company.
• Prepare and submit monthly stats for support services pack.
• Submit all pods within the expected time frame to various clients.
• Ensure work standards/objectives are agreed with management.
• Ensure employees are counseled for misconduct as per the HR policy 
• procedure and submit to management.
• Ensure a drivers manual and work process flow system is in place and  updated.
• Initiate disciplinary enquiry's in accordance with the company policy
• Ensure all sub-contractors staffs are managed in accordance with RDS standards.
• Scrutinize driver trip sheets, pods and time sheet on a daily basis
